About Qulatrics
Qualtrics is UW’s licensed online data collection tool used to create surveys for academic research projects. Its use is open to UW students, faculty, staff, or departments, and general information may be found on the Qualtrics page.
The CBE has two instances of Qualtrics:
- One for general CBE use; and
- One used specifically for the Department of Urban Design and Planning.
CBE-IT can onboard affiliates to the general CBE Qualtrics, but for access to the Urban Design and Planning instance, please contact the person(s) listed on the Existing UW Qualtrics Divisions page.
Appropriate Use – Restrictions
Please note the following guidance from the UW Qualtrics page:
- The UW Qualtrics Brand is strictly limited to purposes that support the university’s mission, including but not limited to academic and research purposes. The use of Qualtrics for personal activities is prohibited.
- When collecting survey data, consider legal, regulatory, and university policy requirements. If you are unsure whether your survey questions contain or request sensitive data, contact the UW Privacy Office for guidance.
- Extensive university-wide surveys of population groups such as faculty, staff, researchers, and students require advance approval from the Office of the Provost. Any user who violates this rule will have their Qualtrics account terminated. Please review UW’s measures to protect information through measures described in the UW Administrative Policy Statements 2.2 University Privacy Policy and 2.6 Information Security Controls and Operational Practices.

CBE-IT cannot provide assistance with the usage of Qualtrics. For assistance, please contact Qualtrics XM Support.
On-Boarding Support:
CBE-IT controls access to to the general CBE Qualtrics instance via the UW Group u_uware_qualtrics_cbe and can add users upon request.
- Departments, researchers, and research teams should email be-help@uw.edu and reference “Qualtrics” in the subject. The request should include an explanation of need and proposed uses, and provide time periods for which access is required, including requests for indefinite access.
- For students or student teams, a faculty sponsor, advisor, PI, or other person in authority should email be-help@uw.edu with “Qualtrics” in the subject and make on-boarding requests on behalf of their students. The request should include an explanation of student needs and proposed uses, and for which time periods access is required. Students will not be given indefinite access to Qualtrics resources.
